Privacy notice
Last updated 12 August 2026. This notice describes how System Fabric Base handles personal data in connection with this website and our audit work in Malaysia.

What we collect from this website
If you send a briefing request, we receive the name, organisation, email, phone number, selected topic, and message you enter. Server logs may include IP address and browser type. If you accept cookies, we store a preference flag in local storage on your device as described on the cookies page. Rejecting cookies does not stop you using the site.
What we collect during an engagement
On property we may see guest profiles, folio lines, and staff user names because they appear on the screens we are asked to read. We do not take guest databases off-site. Working screenshots, if needed, stay on property-owned equipment unless the engagement note says otherwise, and are deleted after the report is accepted or when the note’s retention period ends — whichever is sooner.
Why we use the data
To answer enquiries, quote and perform scoped audits, schedule on-site days, invoice, and keep records required under Malaysian law. We do not sell personal data and we do not use enquiry details for unrelated marketing lists.
Legal context
We handle personal data in line with the Personal Data Protection Act 2010 of Malaysia, including the principles on notice, choice, disclosure, security, and retention, to the extent they apply to our role as a data user for enquiry and engagement records. This notice is not a certification of your property’s own PDPA position; guest-app reviews describe application behaviour, they are not legal advice.
Who we share with
We share enquiry or engagement data only with people inside the practice who need it, with a processor who hosts email if we use one, or when Malaysian law requires disclosure. We do not share your details with hospitality software vendors unless you ask us in writing to join a call.
Retention
Unsuccessful briefing requests are kept for up to 12 months. Engagement files, invoices, and accepted reports are kept for seven years unless a longer period is required for a dispute. Guest-screen working copies follow the engagement note and are not kept as a mailing list.
Access and correction
You may ask what personal data we hold about you as an enquirer or client contact, and ask for correction. Write to briefings@systemfabricbase.digital. We may need to verify the request. Some records must be kept for tax or legal reasons even if you no longer wish to hear from us.
Security
We use ordinary access controls on practice devices and do not copy live guest identification to personal phones. No method of transmission is perfectly secure; if a breach affecting your data occurs, we will contact the nominated client address in the engagement note.
Children
This site is for hospitality operators and their staff. We do not seek data from children.
